JOB OBJECTIVE:
Directs and coordinates activities of branch office of insurance company. This will include interacting with a team of 40 agents and staff of 6 employees.
MAJOR DUTIES:
Hires and Trains workers in performing activities, such as selling insurance, processing insurance claims, or underwriting.
Reviews activity reports to ensure that, personnel have achieved sales quotas, processed claims promptly, or credited collections to policyholders’ accounts
Confers with company officials to plan and develop methods and procedures to increase sales, lower costs and obtain greater efficiency.
Interprets, implements and enforces company policies
Prepares and submits activity reports
Reconcile earned commissions with commission advances
Maintains office
Manage interactions with agents and staff
Other duties as assigned.

Responsibilities:
Supervises A/R, A/P, P/R personnel and transactions
Responsible for overseeing accounting procedures, internal controls (implementing, monitoring, enhancing), and database management
Randomly audits work flow to assure that all accounting transactions are appropriately authorized

Supervises or prepares monthly journal entries
Prepares financial statements

Assures internal control compliance

Provide support to assigned sales representatives on customer related issues/activities and establish a liaison role for resolving customer and sales representative issues.
MAJOR DUTIES:
Run Data Warehouse reports for business manager and sales representative
Prepare Customer Dedicated Inventory Reports on a weekly and/or monthly basis
Create an Excel spreadsheet with customer info, item #, description and quantity on hand
Obtain inventory information and enter information on to spreadsheet and e-mail to representative
Dashboard Information
Create spreadsheets (one for each representative), and a summary that contains the goals, actual, variances, sales, etc.
Populate the spreadsheet with the current monthly information from the Dashboard reports
Place hard copies of spreadsheets in a binder divided by representative
Performance Summary Spreadsheet
Use information from the Dashboard reports to populate performance summary spreadsheet every month.
Prepare customer quotes for sales group, as well as equipment specialists
Representative quotes
Equipment specialist quotes
Prepare loan-to-own agreements
Flight and hotel reservations
Order literature for packaging, equipment and facility supplies (Keep supply of standard literature, also order additional special literature by request.)
Order business cards for business manager and sales representatives upon request
Organize Meetings (sales meetings and/or customer meetings)
Purchasing Issues
Price Increase Workbooks
The CSC Business Analyst e-mails the price increase workbooks once a month to the sales representatives
An e-mail is also sent to the business manager notifying him/her that the price increase workbooks are on the portal with a due date of when they need to be completed
Aging Accounts Receivable Reports – Prepared monthly
New item request
Prepare credit and credit/rebill requests
New customer credit form (form providing customer information for account set up.)
Out of stock or backorder issues
Proofs of delivery (requests can come from a customer, sales rep, or the credit group.)
Evaluate price or cost overrides and correct in APS to the price
Other related duties and responsibilities as required or assigned

KNOWLEDGE & EXPERIENCE:

2-5 years in distribution, providing product knowledge and understanding of industry terminology
Excellent customer service, listening and communication skills
Proficiency in use of Excel, Word, and PowerPoint software programs, along with skill in uploading/ downloading information from large data systems
Strong initiative, resourcefulness and project completion skills; ability to identify sources of information, obtain necessary information, and resolve issues in a timely manner
Ability to prioritize work and complete multiple tasks independently and concurrently.
Solid writing and grammar skills
Background in customer service or purchasing distribution preferred
